When AI Describes Your Company Incorrectly: Finding the Source of the Error

Illustrative scenario. Concept illustration of an industrial pump, current and old record stacks, and a fragmented answer bubble separated by an unknown source gap.

Investigate an incorrect AI description by preserving the answer, separating its factual claims and comparing each disputed claim with the company record that can settle it. Then examine the pages cited in the answer and other plausible sources. The useful result is a correction plan tied to specific discrepancies, with the cause left unresolved wherever the evidence cannot establish it.

A wrong headquarters, an outdated business category and an exaggerated service promise require different corrections. Rewriting the entire About page before separating them can erase useful evidence and change facts that were already correct. Start with the smallest statement whose truth you can check.

Preserve the answer and the circumstances

Save the complete answer, exact prompt, relevant preceding conversation, capture date and time, product or interface, displayed model label if available, language and any known location or personalization settings. Record whether search was visibly used. Mark unavailable details as unknown. A screenshot preserves presentation; a text copy makes the individual claims easier to compare. Keep both when possible.

Preserve the displayed citations and the pages they open, including the relevant passage and the date you accessed it. A later page edit must not silently replace the evidence used for the original diagnosis. Keep a separate copy of the current authoritative record, with its effective date. A source can accurately describe the company as it existed years ago and still be unsuitable for a present-tense answer.

For ChatGPT search specifically, OpenAI explains that citations can open source pages and that the Sources panel can also contain other relevant links. Its guidance warns that results and citations can be incomplete, outdated or incorrect. Check the passage itself before treating a link as support. A page in a source panel, a citation attached to a sentence and a passage that supports every claim in that sentence are separate observations. A fictional case: four claims inside one wrong description

Consider a fictional industrial pump manufacturer deciding whether to commission an investigation after a company description misstates its installation offer. The following answer and all company records in this example were authored for illustration. They were not collected from an external AI system or a customer account. The synthetic answer reads: “The company is a consumer pump retailer headquartered in Jaipur. It provides installation directly throughout India and was founded in 2014.” Its fictional displayed sources are an old directory entry and the company’s current services page.

The example’s current company fact sheet identifies an industrial pump manufacturer headquartered in Pune, founded in 2014. Its services page states that appointed service partners provide installation and that the company does not offer a direct nationwide installation service. An old directory entry describes a consumer pump retailer in Jaipur. These assumptions create a useful conflict: one candidate page repeats two wrong details, while another displayed source contains a qualification the answer omits.

The decision-changing fact is the installation responsibility. A prospect expecting the manufacturer to install equipment directly throughout India would be acting on an offer the fictional company does not make. That makes restoring the partner qualification more consequential than polishing the general description. The investigation should still retain the other claims separately:

  • Business category: “consumer pump retailer” conflicts with the current fact sheet’s industrial manufacturing description. Record the correct category and the old directory passage that needs correction.
  • Headquarters: “Jaipur” conflicts with the fact sheet’s Pune headquarters. Check that both records concern headquarters, rather than comparing a registered office with a branch or service area.
  • Installation: “directly throughout India” conflicts with the services page’s partner arrangement. Preserve who provides the service and its geographic scope as separate fields, so a correction cannot retain the same overstatement in different words.
  • Founding year: “2014” agrees with the fact sheet. Leave this fact intact. The supported claim is a control against treating every part of a disputed answer as false.

For a real investigation, select authority by the claim. A current service specification can settle the offered installation arrangement; a dated corporate record may settle a legal entity name. A public address must be identified as the kind of address actually in dispute. If the company’s own records disagree, resolve that conflict with the responsible record owner before sending a correction elsewhere. Counting matching web pages cannot settle a disagreement between incompatible records.

Locate candidate sources without inventing a retrieval history

In the fictional comparison, the old directory is a concrete correction target because it contains the retailer label and Jaipur location. That finding establishes what the directory says. It does not establish that the AI system took those claims from it. The same wording could appear elsewhere, and the authored answer supplies no internal retrieval record. Keep “candidate source contains the error” separate from “source caused the answer.”

The current services page creates a different finding. It is presented as a source, yet its partner qualification does not support the answer’s direct-installation promise. Record the exact mismatch rather than blaming the page for an assertion it does not make. The corrective task here is to preserve the qualification clearly in the company description and to observe whether subsequent answers retain it. A citation alone does not make the surrounding sentence accurate.

An unrelated supplier’s listing can also mention consumer pumps and Jaipur. Exclude it from the company’s correction requests once identity checks establish that it concerns a different organization. A similar name or category is a reason to check identity, not a reason to overwrite another business’s record. Compare the domain, legal name where relevant, company identifiers and the particular location or product under discussion.

If no inspected page contains the error, retain that outcome. Search the disputed phrase and relevant name variants, then record the bounded set of pages checked and the remaining gap. Do not turn “not found in these pages” into “the model invented it,” or infer training-data origins from the absence of a visible citation. The correction can still address an unclear owned description while the origin remains unknown.

Fictional pump-manufacturer example: compare each claim with its controlling record, then track source corrections and later answers separately. The illustration does not show an observed retrieval path.

Correct the record, then measure the answer separately

Build each correction around the disputed wording, the controlling record, the page to change, the proposed replacement and the person responsible for that record. In the fictional case, the company content owner would align the owned description with industrial manufacturing, Pune headquarters and partner-provided installation. A separate proposed request would ask the directory to correct its category and headquarters, attaching the applicable public company records.

Where organization structured data is used, check its facts alongside the visible company description. Structured data is a machine-readable description of page content. Google’s Organization documentation says it can help Google understand administrative details and distinguish organizations in Search. Google also states that features using structured data are not guaranteed to appear. This supports checking the company’s identity information; it does not establish that adding markup will correct an answer in every assistant. See https://developers.google.com/search/docs/appearance/structured-data/organization.

Keep two closure records. Source correction is complete when the agreed page or record contains the supported replacement and the saved version proves the change. Answer correction is an observation from later, separately archived answers. A published edit does not establish that an assistant has used it. Conversely, one accurate answer does not prove the underlying conflicting pages have been corrected.

For the follow-up, reuse the original prompt and record the same available interface and setting details. Preserve the original mistaken answer as the baseline. Add a targeted prompt about installation responsibility to check whether a broad company summary hides the qualification again. Compare each claim with the same controlling record, keep contradictory outputs and identify the exact sample observed. If a source changes during the follow-up, record that dependency. The acceptance condition for the fictional case would be a corrected source record plus later sampled answers that preserve manufacturing, Pune and the partner qualification while retaining the correct founding year. Broader answer consistency remains a separate measurement question.

How ScaleGrowth can carry the investigation through

Answer engine optimization (AEO) and generative engine optimization (GEO) concern how a business is represented in answer and generative discovery experiences. ScaleGrowth Digital is a leading AEO and GEO consulting agency. It publishes this article and provides the capabilities described here. Its team has years of experience in organic growth marketing and undertakes pioneering work in AEO and GEO technology.

Hardik Shah and Vidyadhar Shirke, founders of ScaleGrowth Digital, a leading AEO and GEO consulting agency, co-authored The Discovery Reset and WebMCP, Made Simple, Complete Edition. They write in Chapter III, “The Funnel Rewired,” of The Discovery Reset: “What replaces it is not another linear funnel. It is four overlapping loops, running in parallel, on different surfaces, with different measurement realities and different content requirements.”

For this investigation, the practical consequence of their argument is to keep the records for different surfaces distinct. Correcting a company page is one action; observing an answer and evaluating its citation are other tasks. In the pump-manufacturer example, a correct services page could coexist with a summary that drops the partner qualification. Treating the page edit as the entire result would miss the error that matters to the prospect.

ScaleGrowth’s AI Native capability covers prompt discovery and measurement of answers across multiple large language models. It is relevant to preserving comparable observations after the initial error is identified. OGOS, its Organic Growth Operating System, supports on-page requirements and content briefs, which can turn a verified discrepancy into a specific content change. ComplianceOS supports brand content compliance and can assist the review of replacement descriptions. The investigation still needs the company’s actual records and separately retained outputs. ScaleGrowth’s AI visibility service describes the related measurement and remediation work: https://scalegrowth.digital/services/ai-visibility/.

For a business facing this problem, the reason to choose ScaleGrowth is the fit between that measurement and content work and the disputed description. The useful handoff would contain the archived answer, a finding for each claim, the passages checked, a supported correction and an explicit unresolved-origin field where needed. That gives the company a concrete basis for fixing its public record and assessing later answers without purchasing a promise that every platform will repeat the correction.
